Data We Collect

We collect information you provide when you submit an application for a home reset or a volunteer application,, including your name, contact details, address, household and service needs, waiver acknowledgements, and uploaded documents. We also collect volunteer availability and skills. Technical data (such as IP address and browser information) may be collected for security and reliability.

How We Use Your Information

We use this information to evaluate eligibility, coordinate assistance, communicate about your application, schedule services, and improve our programs. Volunteer information is used to match opportunities and coordinate logistics.

Legal Basis and Consent

We process your data with your consent (waiver agreements and form submissions) and our legitimate interests in operating and improving services. You may withdraw consent at any time, subject to records we must retain for safety or legal compliance.

Sharing and Disclosure

We do not sell personal data. We share only what is necessary with trusted service providers and volunteers to deliver assistance, and may disclose information when required by law or to protect safety.

Retention and Erasure

We retain application and volunteer records as long as needed to provide services and meet legal, audit, and safety requirements. When a user requests erasure, all personally identifiable information (PII) is anonymized or removed from client application records. For records with statuses such as approved, scheduled, or completed, only direct PII (name, email, phone, address, IP) is anonymized; non-PII context (service details, situation, notes, home type, etc.) is retained for business analysis and planning. Attachments (such as images of homes or belongings) are detached from the record and stored in a private shadow field, accessible only to authorized personnel for legitimate business purposes. Attachments are not deleted by default, but may be reviewed or deleted manually if required. All erasure actions are logged for compliance.

Your Rights

You may request access to, export of, correction of, or deletion of your personal data. We will honor erasure requests unless retention is required by law, safety obligations, or legitimate business needs (e.g., fraud prevention, service history).

How to Make a Request

Email privacy requests to [email protected] or use our request form. We may need to verify your identity and your relationship to the data (applicant, volunteer).

Security

We implement safeguards including access controls, encrypted transport (HTTPS), and operational checks. No system is perfectly secure; please report concerns to [email protected].

Changes

We may update this policy; changes will be posted on this page with an updated date.
